Email Decision Record™

20 October 2026 · John Stroh, Director, My Digital Sovereignty Ltd

What it is

The Email Decision Record may be introduced by an appointed distributor once MDSL has its first paying subscriber and has said so in writing; until then this note describes the product and nothing here starts an introduction.

The Email Decision Record keeps a sealed record of each decision about an email: what was proposed, who decided, and what was sent or held. ("Sealed" means locked with a digital signature and a time-stamp from an outside authority, so a later change shows up.) A person can check the record without an MDSL account. It records and checks; a person still decides.

Who it is for

  • Organisations where an outgoing email needs a person's decision, which may later be asked who decided and what was sent.
  • Their leaders say things like: "Who approved that email?" and "Can we show what was held and what went out?"
  • It does not decide which emails are sent. It is the record of the decision.

What a customer gets today

No customer is live yet. Every active Village™ uses the separate signing host described below.

Item Status In plain words
Each proposed email is checked against the owner's policy before it can be sent (EDR-03) Built, available on request The owner's policy is applied. A person still approves a held email
A held email is released or refused by an approver, through a route that records who decided (EDR-02) Built, available on request Built and reviewed by AI agents; no person has audited it
Signing key held apart from the application that writes records (EDR-01, EST-16) Built, available on request; in use for every active Village The separate host is operated by MDSL: the key is in a different place, but still in MDSL's hands. Split-key signing is built and no tenant is on it; it cannot yet be switched on for a tenant
Records held in New Zealand or the European Union (EDR-04) Built On servers MDSL rents from OVH (European Union) and Catalyst (New Zealand); the order schedule states which applies (the order schedule is a draft and has not been issued)
Sending mail through a Microsoft or a Google account that the subscriber connects (EDR-05) Built, available on request Descriptive use only. Google's app is in testing mode, so it is available to named test users only

Questions that show whether it fits

  1. "When an email goes out in your organisation's name, how do you show afterwards who decided it should?"
  2. "If an email was held and then released, is there a record of who released it and when?"
  3. "Would a record that an outside party can check save you an argument later?"

What to say and what never to say

Anyone describing it uses this wording. MDSL describes the Email Decision Record as a record: each proposed email is checked against the owner's policy, a held email is released or refused by an approver, and each decision is kept as a sealed record a person can check. A person still decides. Status is described from the table: built and available on request.

MDSL does not use these words about any product: tamper-proof, court-defensible, legally admissible, compliant, certified, immutable, safe. MDSL does not say the product decides which emails are sent, that nothing is sent without a person, that records cannot be forged, that the customer holds the signing key, or that every customer's keys are held separately. Connected Microsoft and Google accounts are named descriptively only, with no endorsement or approval implied, and MDSL does not say it works with any mail account. Records are described as held in New Zealand or the European Union, never as only one of them. Any absolute term needs approved wording from MDSL first.
